How much does guard management software cost, really?
There's no single number because there's no single pricing model. There are four, and each one produces a wildly different bill for the same company:

Per-user pricing. You pay for every guard, supervisor, and office user with a login. GuardsPro publishes tiers of $5–$10 per user per month with a 3-user minimum. Connecteam, a generic workforce tool that isn't security-specific, starts at $29/month for up to 30 users. Per-user looks cheap on the pricing page and gets expensive in an industry where annual turnover is commonly cited at 100% or more — you're constantly buying, deactivating, and re-buying licenses.

Per-site pricing. You pay for each post or location you serve. OfficerApps runs roughly $70 per site per month. Per-site pricing directly taxes the thing you're trying to do: win more sites.

Custom enterprise quotes. No published pricing at all — a demo, a discovery call, and a proposal built around your seat count and modules. This is where the $10,000–$25,000+/month figures live, typically for national firms with dispatch centers and back-office integrations. The breadth can be real; so can the 12-month minimum contracts and setup fees that come with it.

Per-scheduled-hour (FTE) pricing. You pay for hours actually scheduled, not headcount or locations. One FTE equals 40 scheduled hours per week, so a company scheduling 1,200 hours a week pays for 30 FTEs — whether that's 30 full-timers or 55 part-timers. What's a fair security guard software pricing comparison by company size?

These assume published rates from the evidence above; site counts assume a typical ratio of roughly one site per 3–4 guards, and FTE counts assume full-time schedules. Two honest observations from that table. First, per-user pricing is genuinely the cheapest sticker for small, stable teams — if your 10 guards are the same 10 guards all year, GuardsPro or Connecteam math is hard to beat, and flat-rate platforms like ours are not the budget play at that size. Second, the columns converge as you grow: by 300 guards, every model lands in five figures or close to it, and the real differences are in what's not on the pricing page.
What hidden costs should you watch for in guard tour system price quotes?
The sticker is maybe 70% of what you'll pay in year one. Here's the rest, all attributed to published pricing and user reviews on Capterra, G2, and Trustpilot as of mid-2026:
- Setup and onboarding fees. TrackTik's setup runs roughly $1,404 for its Guarding Suite and $842 for GuardTek, per the Connecteam review roundup. Ask every vendor for the implementation fee in writing before the demo ends.
- Per-zone and per-location licensing. That $78–$85/month per location on TrackTik multiplies quietly. Twenty sites is another ~$1,600/month before anyone logs in.
- Integration fees. Payroll, billing, and accounting connectors are frequently priced as add-on modules. If QuickBooks or your payroll provider matters, get that line item quoted up front.
- Overage traps. Per-user plans bill for every activated license, including the guard who quit in week two. With turnover commonly cited above 100% annually, a 30-guard company may activate 60+ licenses in a year. Ask how deactivation and proration work — some vendors true-down monthly, some don't.
- Annual lock-ins and notice windows. TrackTik requires 12-month minimum contracts per the same review roundup, and software renewal notice windows across the industry typically run 60–90 days. - Data export fees. Some vendors charge for, or drag their feet on, exporting your reports and site data when you leave. Anything you can't export cheaply, you don't really own.
What did running disconnected tools cost before purpose-built software?
Worth naming the baseline, because "do nothing" isn't free either. Before SNTNL, Ranger Guard ran the way most mid-size firms do: a scheduling app here, a guard tour app there, reports in Word docs, and supervisors stitching it together by phone. What is a reasonable security software cost per guard — and per hour?
Here's the framing I'd use as an operator, not a buyer of software line items: your operations platform should cost about 1% of revenue or less.
The math: US commercial guard bill rates commonly run $25–$35/hour. A full-time guard bills roughly 2,080 hours a year — call it $52,000–$73,000 in annual revenue per FTE. One percent of that is $43–$61 per guard per month, or roughly 25–35 cents per billable hour. If a vendor's all-in quote (sticker plus setup amortized plus per-site fees plus integrations) lands meaningfully above 1% of the revenue those guards generate, you're overpaying — or buying enterprise breadth you won't use. If it lands way below, check what's missing: usually GPS verification, client-facing reporting, or support.
Cross-check any quote three ways: total cost ÷ guard count, total cost ÷ scheduled hours, and total cost ÷ revenue. A quote that looks fine per guard can look ugly per hour if half your roster is part-time.
